The brief
Streamlining event management, and the attendees that depend on it.
For over 30 years, Podge Events has curated some of the most sought-after invite-only lunches and gatherings in the creative, digital, music and sports industries.
We were brought in to design and build a custom CRM and event management platform that gives the Podge team full control over every stage of the guest experience, from first invite to table planning to final food orders. With a database of over 10,000 attendees, the new platform needed to simplify everything from payment tracking and dietary preferences to contact information and table plans.
Keeping profiles up to date had long been a challenge, so we built a custom LinkedIn scraping tool that updates profile photos, job titles and company names – ensuring records stay fresh with minimal manual input. And with over 30 years of history, duplicates had piled up, so we also introduced a deduplication and merging feature to help the team clean up legacy records with ease.
The CRM connects directly to the public-facing Podge Events website (which we also re-branded, designed and built), meaning guest lists for each event are always in sync – no duplication, no manual updates, no stress.
Overview
The CRM allows Podge to manage the full lifecycle of guest management - from invitation, dietary requirements and payment, to live guest syncing on the public event site, lanyard printing and table plans.
The CRM powers the public-facing Podge website, automatically syncing guest lists for each event - reducing double entry and ensuring real-time accuracy.
Cleaning up 30 years of data
We introduced a smart deduplication feature that detects and surfaces possible duplicate records across thousands of guests - helping the team clean and merge profiles with confidence.
Automated profile enrichment
As long as a LinkedIn URL is attached to a profile, our system automatically pulls in up-to-date information and imagery - saving hours of admin while keeping the database fresh.
